How to prepare

Send your photographer the run sheet, venue floor plan and a shot list: speakers, sponsors, VIPs, key moments and any branding that must be visible. Name a contact on the day who can identify people and grant access to backstage or restricted areas.

Tell your photographer how you'll use the images, and when you need them: a same-day social post needs a different workflow from a post-event report. Let attendees know the event will be photographed, and agree how to handle anyone who doesn't want to appear, such as coloured lanyards. Check the venue's rules on photography.
