Private and corporate events

Private events include milestone birthdays, anniversaries, family celebrations and parties. Event photography starts from £350, and birthday party photography from £300. The focus is usually on the people: guests, reactions, speeches and the small details you planned.

Corporate events include conferences, product launches, awards evenings, networking events and client dinners. Corporate event photography starts from £500. The images have a job to do: press releases, social media, sponsor reports and next year's marketing. The brief matters even more here.

How to brief your photographer

A good brief is the difference between a gallery full of backs of heads and one you can use. Send it a week or so before the event, and include:

• The run sheet: arrivals, speeches, awards, food and the time the photographer can leave.
• Key people: names and, ideally, photos of hosts, speakers, VIPs and sponsors who must be covered.
• Must-have moments: the cake, the toast, the award handover, the ribbon.
• A contact on the day: one person who knows the plan and can make introductions.
• Brand guidance: logos or signage to include, and anything to avoid.
• People who should not be photographed: a simple system, such as a coloured lanyard or sticker, makes this easy to respect.

Keep it to what you will actually use. A 60-item list leaves no room for the unplanned moments that often make the strongest pictures.

Venue lighting

Many event spaces look lovely to the eye and are hard to photograph: dark function rooms, coloured LED uplighting, mixed daylight and tungsten, and a stage lit by a single spotlight. Tell your photographer about the venue, or share photos of it, so they can bring the right kit. Check whether flash is allowed during speeches or performances. Some venues and performers prefer that it is not, which changes how your photographer works.

If the venue has windows and your timings are flexible, scheduling group photos in daylight makes them easier.

Delivery for press and social media

Say at the brief what you need and when:

• Same-day or next-day selects for social media or a press release are usually handled as rush delivery, from £100. Agree how many images and by when.
• Formats: vertical crops for social stories, landscape for the website, and high-resolution files for print.
• Captions: if images go to press, collect names and titles on the day, as it is much harder afterwards.
• Usage: make sure the licence in your quote covers press, sponsors and partners if they will use the images.

The full set arrives as professionally edited images in a private online gallery, with the turnaround confirmed in your quote.

Larger events

For multi-room conferences, events with parallel sessions or a long evening, consider a second photographer (from £400) or extra time (from £100 per hour).
